What is an AI workforce for facilities management?

The term arrived in FM fast, and it is already used to mean everything from a chatbot to a spreadsheet macro. Here is the working definition, what separates a workforce from a feature, and how to evaluate one.

The definition

An AI workforce is a set of AI workers that carry out the back-office work of an FM operation end to end. Not suggestions, not summaries: the work itself. The workers read the emails, book the contractors, chase the certificates, check the supplier bills, raise the invoices and answer the phone. Your team handles decisions and exceptions; the workforce handles the loop.

The test is simple: if a person still has to do the task after the AI has run, it is a copilot. If the task is done, it is a workforce.

What it is not

What it doesAn AI workforce
A CAFM / CMMSSystem of record: stores work orders, schedules and assets. A reminder tells a person to act.Acts on the record: sends the emails, reads the replies, closes the loop, writes back to the CAFM.
A chatbotAnswers questions when asked.Takes actions without being asked: chases, books, checks and files on its own schedule.
RPA / scriptsReplays fixed clicks; breaks when the format changes.Reads plain-English emails and messy documents in whatever format they arrive.

What it does day to day

In practice a workforce is a set of roles, each covering one back-office loop: a helpdesk operator running reactive jobs, a PPM coordinator booking and chasing planned visits, a compliance controller keeping supplier documents current, a finance controller checking bills and raising invoices, and a voice agent on the phone. Each runs independently; together they share one view of the work.

How to evaluate one

Five questions worth asking any vendor, including us. Does it write back to the CAFM you already run, or replace it? Does every action carry evidence you could show an auditor? Is pricing tied to work done, not seats? Can you leave easily if it does not perform? And do your contractors have to change how they work? TYTEN's answers: works on top of your CAFM, every action logged, per-module volume pricing, a one-month break clause, and contractors keep using plain email and phone.

AI workforce FAQ

It takes the routine loop: raising, chasing, checking, filing. Your team keeps judgment, exceptions and relationships. In production this has meant more capacity from the same team.
Typically 4 weeks to go live with the first module, faster for each one after, because the integration is already established.
No. A real AI workforce sits on top of the CAFM you already run and writes back to it.
Every email, call, check and decision is logged against the work order, so any action can be evidenced after the fact.
