Guide

For years, AI in facilities management meant sensors and dashboards. The newer wave is agentic: AI that does the back-office work itself, inside the systems an FM team already runs. This guide covers what it handles, how it connects, where people stay in charge, and how to judge a platform.

## The short answer

Agentic AI in FM is software that carries out back-office tasks end to end rather than suggesting them. It reads the request, raises the job in the CAFM, books the contractor, chases the paperwork, checks the supplier bill and invoices the client. TYTEN runs this as an [AI workforce](https://tyten.ai/guides/what-is-an-ai-workforce-for-facilities-management) for UK FM teams. It has been live in production since November 2025, with more than 500,000 work orders processed. It works on top of the CAFM and accounting system a team already uses, and anything safety-critical goes to a person.

## Agentic AI is not the AI most FM software already has

| | What it does | Agentic AI |
|---|---|---|
| Sensor and BMS analytics | Detects faults and predicts failures from building data. | Acts on the work around them: raises the job, books the contractor, chases the report. It sits alongside a BMS or sensor platform rather than replacing it. |
| A CAFM's built-in AI | Summarises, suggests and searches inside one system. | Works across the CAFM, the mailboxes, the phone line and the accounting system, where most back-office work actually happens. |
| Rule-based automation | Follows fixed rules and templates; breaks when an email or document arrives in a new format. | Reads plain-English emails and documents in whatever format they arrive, and decides the next step. |
| A general AI chatbot | Answers questions when someone asks. | Takes actions on its own schedule, and logs each one against the work order. |

## What it runs, workflow by workflow

### Helpdesk and request intake

Requests arrive by phone, email or WhatsApp. The AI reads each one the way a helpdesk would, raises a structured work order in the CAFM, surfaces repeat chasers, and assigns the best-matched compliant supplier. An [AI voice agent](https://tyten.ai/platform/voice-agent) answers the helpdesk line around the clock: urgent calls follow your escalation rules and routine ones are logged for the morning. On live FM work, 97% of jobs are raised the same day the request arrives. See the [AI helpdesk operator](https://tyten.ai/platform/reactive-helpdesk).

### Planned preventive maintenance (PPM)

As each service falls due, the contractor is contacted with the site conditions attached and followed up until a date is agreed. The AI rebooks around cancellations, chases the certificate after the visit, reads it for compliance and raises remedial work from what it finds. That is planned preventive maintenance. Predictive maintenance from sensor data is a different layer, and TYTEN works alongside it. See the [AI PPM coordinator](https://tyten.ai/platform/ppm-chasing).

### Compliance and supplier documents

The AI drafts RAMS and permits to work, keeps supplier insurance and accreditations current, chases anything about to expire, and checks statutory certificates such as EICR, LOLER, Gas Safe and F-Gas as they arrive. SFG20 task codes on PPM assets and SSIP accreditation are part of the vocabulary it works in, and every check is recorded against the job. See the [AI compliance controller](https://tyten.ai/platform/document-tracking).

### Job close-out

Job sheets are chased until they land, then read, checked and filed to the job. Remedial findings are raised automatically, and the work order is closed against the evidence rather than on trust. On live work, the time from certificate to remedial job is 48 times faster.

### Accounting

Supplier bills are checked against the order, the agreed rates and the job sheet, then passed for approval. Sales invoices are raised against the proven job, and extra work is flagged rather than paid on trust. See the [AI finance controller](https://tyten.ai/platform/accounting).

## How it connects to the systems you already run

Agentic AI only helps if it works where the team works. TYTEN reads from and writes back to the CAFM, the accounting system and the mailboxes an FM operation already uses, so nothing is migrated and nobody gets a new login. Contractors keep working over plain email and phone.

- **CAFM and field service, 14 live:** Infraspeak, Simpro, Invida, Fergus, Unifocus, Re-flow, Verisae, BigChange, MRI Evolution, OneAdvanced FSM, ServiceTitan, Commusoft, Vantify CAFM and Tabs FM.
- **Accounting, 5 live:** Xero, Sage, QuickBooks, Odoo and Microsoft Dynamics 365.
- **Mailbox and messaging:** Outlook, Gmail and WhatsApp.

Two-way means the AI writes jobs, documents, notes and costs back into the CAFM, rather than exporting a report someone has to re-key. It also means it moves with you: an operator changing CAFM does not have to wait. Integration is client-driven, so a system not on the list is a conversation, not a rebuild. The full list is on the [integrations page](https://tyten.ai/integrations).

## Where people stay in charge

- New workflows start in review mode, so your team approves every action first.
- Anything safety-critical goes to a person, every time.
- Every decision is logged with its reasoning: what was processed, what was extracted, and why anything was rejected or held.
- Any workflow can be paused at any time.
- Each client's data is kept separate. Security details are in the [Trust Center](https://tyten.ai/trust).

## How to evaluate an agentic AI platform for FM

Seven questions worth putting to any vendor, including us:

1. Does it do the work, or suggest it? If a person still has to finish the task, it is a copilot.
2. Does it write back to the CAFM you run, or ask you to replace it?
3. Can it show published results from live FM work, with a client's name on them?
4. How long does it take to go live, and is the price in writing before you commit?
5. Can you leave easily if it does not perform?
6. Is every action logged with evidence you could show an auditor?
7. Do your contractors have to change how they work?

TYTEN's answers: it does the work, on top of your CAFM, writing back to it. [Penguin FM's results](https://tyten.ai/insights/penguin-fm-ai-helpdesk-transformation) are published with its name on them: 40% more helpdesk capacity, five times the work order volume, and the backlog cleared. The first area goes live in four weeks, priced per job, with a one-month break clause. Every decision is logged with its reasoning, and contractors keep using email and phone. For the longer argument behind these tests, read [the terms of arrival](https://tyten.ai/insights/fm-ai-terms-of-arrival).

## AI in facilities management FAQ

### What is agentic AI in facilities management?

AI that carries out back-office work end to end, such as raising jobs, booking contractors, chasing certificates and checking supplier bills, rather than only answering questions or suggesting next steps.

### Can AI manage predictive maintenance across a property portfolio?

TYTEN runs planned preventive maintenance: it books each visit as it falls due, chases the certificate and raises remedial work. Predictive maintenance from sensor data is a separate layer handled by BMS and IoT platforms, which TYTEN works alongside rather than replaces.

### Does it replace our CAFM?

No. It works inside the CAFM you already run and writes back to it, and it moves with you if you change system.

### Can an AI voice agent handle out-of-hours maintenance calls?

Yes. The voice agent answers around the clock. Urgent issues follow your escalation rules, routine ones are logged for the morning, and it hands over to your team whenever a call needs human judgement.

### How long does it take to go live?

Four weeks for the first area. Each area after that is faster, because the connection to your systems is already in place.

### How is it priced?

Per job, by area. Start with one area and add more.
